These Terms of Service govern the use of the polandhousing.com website and the Poland Housing Home mobile app (together, the "Platform"), operated by Technova Solutions sp. z o.o. (the "Operator").

1. General Provisions

1.1. These Terms of Service govern the use of the polandhousing.com website and the Poland Housing Home mobile app (together, the "Platform"), operated by Technova Solutions sp. z o.o. (the "Operator").

1.2. The Platform has three parts:

  • Public site (polandhousing.com) — free informational pages with real-estate market data, available without registration.
  • Pro dashboard (polandhousing.com/pro) — a paid CRM platform for real-estate agents and agencies.
  • Home app (mobile app) — a rental-management tool for landlords and tenants.

1.3. Using the Platform means accepting these Terms of Service and our Privacy Policy available at polandhousing.com/privacy.

2. Public Site — Terms of Use

2.1. Availability and nature of the data. The public site is free to use for everyone, with no registration required. The data shown (property prices, interest rates, notarial transactions, demographic data, developer data) comes exclusively from publicly available government and institutional sources: GUS (Statistics Poland), NBP (National Bank of Poland), GUGiK RCN, GUNB, Eurostat, and OpenStreetMap.

2.2. No accuracy guarantee. The Operator makes reasonable efforts to keep the data shown accurate and current, but: the data is provided for informational purposes only; the Operator is not responsible for its completeness, accuracy, or currency; the data may lag behind actual market conditions due to the publication schedules of the source institutions (e.g., NBP data is updated quarterly).

2.3. No financial or investment advice. Content shown on the site, including calculator results (mortgage calculator, rent-vs-buy calculator, affordability calculator), does not constitute financial, investment, legal, or tax advice. The Operator is not a licensed financial advisor. Any financial or investment decisions should be made independently or after consulting an appropriately licensed professional.

2.4. Notarial transaction data (RCN). The site shows notarial transaction price data from the GUGiK RCN registry. This data reflects past notarial-deed prices and is neither an offer price nor a guarantee of a property's current market value.

2.5. Developer registry. Information about developers and their projects comes from the Art. 19b registry maintained by GUNB (BDR) and is shown for informational purposes. The Operator does not verify the currency of developer data and is not responsible for inaccuracies in the source registry.

2.6. No automated scraping. Automated bulk data collection from the Platform (scraping, crawling) without the Operator's prior written consent is prohibited. Normal use of the site through web browsers is permitted. The Operator reserves the right to block IP addresses that violate this rule.

3. Cookies and Analytics

3.1. The public site uses analytics cookies (Google Analytics) to measure traffic and improve functionality. Details are available in our Privacy Policy.

3.2. On your first visit, a cookie banner lets you accept or decline analytics cookies. You may withdraw consent at any time.

4. Property Listings and Inquiries

4.1. Listing status. Property listings published on the Platform are posted by independent real-estate agents using the Pro dashboard. The Operator is not a party to transactions between people interested in a property and agents or landlords.

4.2. Inquiry form. By submitting an inquiry form about a listing, you consent to your contact details (name, email, phone, message) being shared with the agent handling that listing. The agent is a separate data controller with respect to any further communication with you.

4.3. Multi-channel contact. Depending on the agent's configuration, contact may take place via: email, SMS, WhatsApp, Facebook Messenger, Instagram DM, or phone. By using the inquiry form, you accept that you may be contacted through any of these channels.

4.4. Phone calls and transcription. Phone calls made through the Platform may be: handled by an AI-based voice assistant (Ultravox) acting on behalf of the real-estate agent; recorded and automatically transcribed (transcription provider: Deepgram); analyzed by AI systems (Google Gemini) to generate a call summary and suggested next steps for the agent. We disclose that a call is being recorded at the start of every call. The transcript and summary are visible only to the agent handling that inquiry.

4.5. Qualification form. An agent may send you a qualification form asking about, among other things, your budget, move-in timeline, financing method, and household composition. Completing the form is optional but may help match you to a suitable listing faster.

4.6. Agent liability. The Operator is not responsible for the content of listings, the accuracy of information provided by agents, or the outcome of transactions between users and agents. Any complaints about working with an agent should be directed to the agent directly or to the relevant supervisory body (the Polish Real Estate Federation, UOKiK).

5. Tenant Identity Verification

5.1. When entering into a lease through the Platform, an agent may ask a prospective tenant to complete an identity verification process that includes submitting an identity document and proof-of-income documents.

5.2. Verification is required to sign a lease through the Platform. Verification documents are shared only with the agent or landlord handling that transaction.

5.3. The Operator applies technical measures to protect submitted documents. A detailed description of how verification data is processed is available in our Privacy Policy (section 6).

5.4. Signing a lease through the Platform is voluntary. A tenant may decline verification — in that case, signing the lease through the Platform will not be possible, without limiting the right to sign a lease in another form.

6. Electronic Signing of Leases

6.1. The Platform lets you generate and electronically sign lease agreements. Each party to the lease (tenant, landlord) receives an individual link to sign the document.

6.2. Once all parties have signed the document, the lease is activated in the Home app.

6.3. The generated lease is based on a template provided by the Operator or the agent. The Operator does not provide legal services and is not responsible for the legal effects of the lease's contents. We recommend having the lease reviewed by a qualified lawyer before signing.

6.4. The signed document is stored as a PDF on the Platform and remains available to both parties for the entire duration of the lease.

7. Home App — Rental Management

7.1. Access to the app. After signing a lease, the landlord and tenant receive access to the Home app via an individual link (magic link) sent by email. Using the Home app is free for landlords and tenants.

7.2. Online payments. Tenants can pay rent online through the Home app. Payments are processed by the payment operator PayU SA (ul. Grunwaldzka 182, 60-166 Poznań, Poland), an independent payment services provider. Available payment methods: payment card, Apple Pay, Google Pay, BLIK, Klarna, PayPo, installment payment — availability of individual methods may depend on PayU SA's current offering. The Operator does not store payment card numbers or payment data — transactions are handled entirely by PayU SA. Fees for using the payment platform may be charged according to the Operator's current price list, which the landlord is informed of when activating the Home app.

7.3. Confirming cash and bank-transfer payments. A tenant may log a cash or bank-transfer payment in the app. The landlord confirms receipt of the payment. Both parties are notified when a payment's status changes.

7.4. Payment notifications. The Home app sends automatic reminders as a rent due date approaches (7 days, 3 days, and 1 day before) and notifications about payment status. Notifications are delivered via the Expo Inc. (USA) push system.

7.5. In-app communication. The Home app lets tenants and landlords exchange text messages and files. Messages are stored on the Operator's servers for the duration of the lease and for 5 years afterward.

7.6. Third-party access. A landlord may invite a co-landlord or property manager to the app. A tenant may invite a roommate. Each invited person gains access to data related to that lease.

7.7. End of tenancy. Once a lease ends (its end date passes), access to the Home app is automatically deactivated. Documents and payment history remain available for the period required by law (generally 5 years).

8. Pro Dashboard — Agents and Real Estate Agencies

8.1. Access and registration. Access to the Pro dashboard requires registration and is paid according to the current price list at polandhousing.com/pro. Registration is available to real-estate professionals.

8.2. Agent responsibility. An agent using the Pro dashboard is responsible for:

  • the accuracy and currency of published listings,
  • complying with applicable law in their activities (including real-estate brokerage regulations),
  • complying with GDPR with respect to lead and tenant personal data processed through the Pro dashboard,
  • obtaining the required consents from their clients to record and transcribe phone calls.

8.3. Telephony and AI services. The Pro dashboard offers telephony services (SMS, WhatsApp, voice calls) and AI tools (Ultravox voice assistant, Deepgram transcription, Gemini analysis). These services are billed based on usage according to the following rates:

The Operator reserves the right to change rates with 30 days' notice.

8.4. Meta ad campaigns. The Pro dashboard lets you create Facebook and Instagram ad campaigns via Meta Platforms Ireland Ltd. The Operator acts as a technical intermediary — responsibility for ad content and campaign budgets rests with the agent. Meta's own terms of service apply independently of these Terms.

8.5. Listing import from portals. The listing-import feature (OLX, Otodom, Gratka, Morizon, Szybko) may only be used to import listings the agent authored or has the right to manage. Importing other parties' listings without their consent is not permitted.

9. AI-Generated Content

9.1. The Platform uses AI tools (OpenAI, Google Gemini, Kling AI) to generate, among other things: descriptions and summaries on city and district pages, property valuation analyses, call-transcript summaries, video presentations and 3D property walkthroughs, and suggested messages for agents.

9.2. AI-generated content may contain errors or inaccuracies. The Operator does not guarantee its correctness. Any decisions based on AI-generated content should be independently verified by the user.

9.3. AI-generated content on public pages is labeled as automatically generated.

10. Intellectual Property

10.1. All rights to the Platform, its code, interface, lease templates, and original editorial content belong to the Operator or its licensors.

10.2. Data shown on the public site comes from public sources and is not subject to the Operator's intellectual property protection.

10.3. Copying, modifying, or commercially exploiting elements of the Platform without the Operator's written consent is prohibited.

11. Limitation of Liability

11.1. The Operator is not liable for:

  • financial or investment decisions made based on data from the site,
  • the actions of real-estate agents using the Pro dashboard,
  • the content of leases generated by the Platform,
  • interruptions in access to the Platform due to maintenance, outages, or force majeure,
  • data loss caused by third parties or failures on the part of external service providers,
  • the behavior of AI systems, which may contain errors or generate inaccurate content.

11.2. The Operator's liability is limited to the amount of fees actually paid by the user in the 12 months preceding the event giving rise to the claim.

12. Governing Law and Dispute Resolution

12.1. These Terms of Service are governed by Polish law.

12.2. Any disputes arising from use of the Platform will be resolved by the court with jurisdiction over the Operator's registered office (Warsaw).

12.3. Consumers are entitled to use out-of-court dispute resolution methods, in particular via:

  • the European Commission's ODR platform: ec.europa.eu/consumers/odr
  • the Permanent Consumer Arbitration Court at the competent Trade Inspection Inspectorate.

12.4. Consumer rights arising from mandatory provisions of Polish and EU law are not limited by these Terms.

13. Changes to These Terms

13.1. The Operator reserves the right to amend these Terms.

13.2. We will notify Pro dashboard and Home app users of changes that materially affect them at least 14 days in advance, by email or via an in-app notification.

13.3. Continuing to use the Platform after changes take effect constitutes acceptance of those changes. A user who does not accept the changes may terminate their agreement to use the Platform before the changes take effect.
